How to Archive an Account

The Chart of Accounts is a list of all the accounts your firm uses to track financial activity. Over time, some accounts may no longer be needed. Archiving these accounts helps keep your records clean and makes it easier to locate active accounts.

When you archive an account, it is hidden from your active list, but not deleted. This ensures that past transactions linked to the account remain accessible for reporting and audit purposes.

Before archiving an account, please confirm the following:

  • The account is not currently in use.

  • All transactions associated with the account are complete.

  • You have the necessary permissions to make changes to the Chart of Accounts.​

To archive an account follow the steps below:

  1. Navigate to Accounting > Chart of Accounts.

  2. Locate the account you wish to archive, and select it using the checkbox next to the account name.

  3. Click the Archive button.

  4. A confirmation message will appear. Choose:

    • Archive to proceed, or

    • Cancel to return to the account list without making changes.

Note: System-generated accounts cannot be archived.

What Happens Next?

The account will be archived, but you can still view its detailed ledger from the Chart of Accounts. You can use the Archived filter to display archived accounts. Archived accounts are hidden in the dropdown menu when creating new payments or creating journal entries.
