Memorized journal entries help you save time by creating templates for transactions you record on a regular basis. Instead of manually entering the same details each time, you can use a memorized entry to quickly input recurring transactions, such as monthly fees or routine adjustments.
This feature improves efficiency, promotes consistency, and reduces the risk of errors in your accounting records.
Create a Memorized Journal Entry
To create a memorized journal entry follow the steps below:
From the white New button, select Journal Entry from the menu or navigate to Accounting > Journal Entries and click Create Journal Entry.
Enter the transaction date.
Record the Debit Entry.
Select the debit account from your list of accounts.
Add a description - write a note to explain the reason for this journal entry.
Enter the amount - this is the amount being added to the account..
Record the Credit Entry.
Select the credit account from your list of accounts.
Add a description - write a note to explain the reason for this journal entry.
Enter the amount - this is the amount being removed from the account.
Ensure the total debits equal the total credits.
If they don’t match, an error message will appear, and the entry cannot be saved.
Click Memorize Journal Entry.
Provide a name for your memorized journal entry and click Record Memorize Journal Entry.
Use a Memorized Journal Entry
To access and use your memorized journal entries follow the steps below:
Navigate to Accounting > Journal Entries.
Your list of memorized journal entry templates will be displayed.
Click Use next to the desired template:
This opens the Enter Journal Entry page with all applicable fields pre-filled from the template.
Make any necessary adjustments (e.g., date, amount)
Click Record Journal Entry to save the transaction
Edit or Delete a Memorized Journal Entry
To edit or delete a memorized journal entries follow the steps below:
From the list of memorized journal entries click Edit to open the memorized journal entry template
Make the necessary edits to the journal entry.
Click Update Memorized Journal Entry to save your changes.
Click Delete to remove the memorized journal entry.
A confirmation message will appear.
Note: Once deleted, a memorized journal entry cannot be restored.
