How to Identify Unbilled Activities

Easily spot activities you or your colleagues may have completed but haven't yet billed.

It's easy for billable time to slip through the cracks - especially when you're juggling client work, shifting priorities, and day to day firm responsibilities. PracticePanther's Time Logged feature helps ensure all your work is accounted for and is ready to be billed!

In this article you'll learn how to:

  • Quickly scan your personal activity list to identify entries that haven't been billed.

  • Help firm administrators monitor which team members may have unbilled time, improving billing accuracy and revenue tracking.

How do I find my unbilled activities?

You can identify your unbilled activities for an individual contact or matter, or across all contacts and matters.

To view the unbilled activities belonging to one contact or matter, follow these steps:

1) Open a specific contact or matter and click on the Activities tab.

This list contains all Events, Tasks, Emails, Notes and Calls logged for this contact/matter.

2) Use the Assigned to filter and select yourself. If you only want to review work that has been completed use the Status filter and select Completed.

3) Click Choose Columns found on the top right of the list, then make sure Time Logged is selected.

4) Here you can easily tell which activities have associated time logged and which activities still need a time entry.

5) If you have many activities to review, click on the Time Logged column header to sort the entries so that the ones without associated time entries appear on the top.

Optional: Using more advanced filtering you can show only the activities that do not have associated time entries. Click on the three dots beside the Time Logged column header to reveal a filter option. Enter 0 in the Show Items with a value that is equal to field. Click Filter and it will display only activities that have No Time Logged.


6) As you review your list, you can add time to any activity by hovering over the item

in the list and clicking 'Log Time'.

What If I logged a separate time entry for the work related to an activity?

In this case you have two options:

1) Click the Time Logged button when hovering over the activity. This will allow you to indicate that the time entry for the activity has been accounted for. Choosing this will remove it from the available list of activities needing time logged.

2) Delete the original time entry and log a new one using the Log Time button mentioned above. Note this option should only be considered if the time entry has not been invoiced.

To view the unbilled activities for all of your contacts/matters for the firm follow these steps.

1) Simply click here or navigate to the Activities tab from the menu. Apply the same filters and add the Time Logged column from the column chooser, as needed.

As a Firm Administrator, how do I find unbilled activities for everyone in my firm?

1) Simply click here or navigate to the Activities tab from the menu.

2) In the Assigned To filter choose Any User or select a specific user you wish to review.

3) Make sure the status filter is set to Completed and the Time Logged column is enabled in the column chooser.

4) Sort or filter on the Time Logged column to find any activity with No Time Logged.

From here you can decide how to follow-up with your staff! Some options include:

  • Sending them a quick message in PracticePanther's chat feature

  • Creating a new task and reminder for them to review their unbilled activities. This task can also be made as a weekly or monthly recurring task to provide ongoing reminders.
