How do I void a bounced check?

Check bounced? No problem, learn how to indicate and mark that your payment has not gone through and balance your accounts.

There are two different scenarios when it comes to a check bouncing. One scenario is if the payment reflected was applied to an invoice, and the second scenario is when the payment has been collected as a retainer, but not applied to an invoice.

For voiding a check applied on an invoice, follow these instructions:

1) Go to the clients matter file and review the "Paid" bubble at the top.

2) Go to the "Invoices" tab, and click on the invoice.


3) On the invoice page, scroll down until you see the total and hit the trash can to unapply the payment.

4) It will ask if you want to unapply the payment hit "Yes".

Now, the money will be located as "Unapplied Amount" / operating credit on the matter.

5) The "Due"  bubble, if hovered over, will show the balance of the invoices and the payment amount we just unapplied. 


6) Hit the green "New" button and hit "Payment".

7) Hit "Take Money Out".


8) Enter the amount of the check that bounced to void that amount. In the notes add VOID, to reflect that the check bounced, include the check number. (e.g. $10,500 will be voided from the payment used for this example.)

What Happens Now?

The "Due" bubble will now reflect the balance that resulted from the voided check, leaving you with the correct owed amounts from invoices.

If the check payment is a trust retainer payment on the matter, follow these instructions:

1) Go to the clients matter file and review the "Trust" bubble at the top.


2) Hit the green "New" button and hit "Payment".


3) Hit "Take Money Out".


4) Enter the amount of the check that bounced to void that amount. In the notes add VOID, to reflect that the check bounced, include the check number. Make sure to also choose the "Trust Account" from the bank field.


5) Hit "Save" at the bottom of the screen.


What Happens Now?

The "Trust" bubble should now show that the trust has been zeroed out and balanced. Now we have successfully reflected that the initial trust payment in the form of a check has bounced.
